Who we are looking for? 

Pollock Properties Group is seeking a highly organized and driven part-time Design and Staging Assistant to support our staging department. In this role, you will be responsible for coordinating the packing, installation, and removal of staging materials and furniture, ensuring each project is executed to the highest standards under the direction of the Director of Home Transformation. You will collaborate closely with real estate agents and homeowners, providing essential support in preparing and staging homes for successful sale.


Hourly Wage: $TBD based on experience 

Hours: Part-time, flexibility is key! Monday-Friday shifts between 9am-5pm. (Varies per job, per day. Flexible, on-call schedule required. No day will be the same.)


Key Responsibilities:


  • Project Support:
    Assist the Director of Home Transformation in implementing property staging plans, following detailed project instructions to ensure accurate and efficient staging.

  • Logistics Coordination:
    Assist the warehouse manager in booking and coordinating moving services, such as Main Street Movers / seasonal on-call help, for all stagings and de-stagings. Ensure appropriate scheduling and support for each listing.

  • Vendor Scheduling & Walkthroughs:
    Assist in scheduling estimates with contractors, painters, cleaners, plumbers, etc. for listings. Conduct walkthroughs with vendors if the Director of Home Transformation is unavailable.

  • Vendor Payments & Client Coordination:
    Manage payments for vendors through our Home Enhancement Loan Program (HELP) Track expenses in property folders and coordinate with the Virtual Assistant (VA) to send addendums for client signatures.

  • Inventory Management:
    Assist with maintaining inventory by taking photos of new items and uploading them into Stageforce. Flag and report any damaged products as necessary.

  • Donation Coordination:
    Handle scheduling for donations through our non-profit partner, The Warehouse NJ. Coordinate and arrange pickups with clients and our team.

  • Presentation Assistance:
    Support the creation of listing presentations in CANVA. 

  • Packing & Organization:
    Assist in pulling and packing inventory for stagings using Stageforce, ensuring everything is organized and accounted for.

  • Tool Kit & Supplies Management:
    Maintain a clean and organized tool kit, ensuring all necessary supplies (e.g., nails, picture hanging wire, electrical tape, vacuum, Stageforce scanner etc.) are on hand for each staging project.

  • Errands & Supply Management:
    Run errands as needed to pick up staging supplies, tools, cleaning products, key copies,  and other materials from local stores.

  • Invoice & Expense Tracking:
    Manage invoices, track staging helper hours, and ensure property folders are up to date with receipts. Coordinate payments for staging helpers.

  • Inventory Maintenance:
    Ensure inventory is clean, washed, folded, and properly returned to shelves after use.

  • Administrative Support:
    Assist with various administrative tasks, ensuring efficient and organized project management.

  • Attendance & Collaboration:
    Maintain punctual, regular attendance. Collaborate effectively with other departments to ensure smooth operations across projects.



Additional Responsibilities: Provide essential support in the preparation and management of listings. In this role, you will also assist with a variety of tasks to ensure smooth operations throughout the listing process.


  • Pre-Listing Packet Creation & Delivery:
    Prepare pre-listing packets and deliver them to properties ahead of listing appointments to ensure timely and accurate preparation for agents.

  • BOH/POH Support:
    Assist in printing materials for Broker Open Houses (BOH) and Public Open Houses (POH). Create and deliver BOH/POH bags to agents and properties as needed. 

  • Material Pickup & Delivery:
    Retrieve brochures, riders, lockboxes, and other materials as needed, and deliver them to properties or the warehouse.

  • Home Inspection Preparation:
    Prepare snack packs and a welcome note for home inspections, ensuring they are delivered to the property before the inspection.

  • Post-Contract Tasks:
    Add "Under Contract" (UC) riders to signs once a property is under contract. Pick up marketing materials from property and return materials to the warehouse, unpack and organize for the next property. 

  • Property Preparation for Showings:
    Assist in turning on lights and “fluff and puff” properties for showings 

Qualifications:

  • This position involves frequent standing, bending, stooping, lifting, and stair use. Candidates must be physically fit and able to lift 50+ lbs comfortably and safely. 

  • A collaborative team player who can follow directions and contribute positively to the team environment.

  • Must be highly reliable, communicative and punctual.

  • Reliable transportation for running errands (mileage reimbursement applies).

  • Familiarity with inventory management software is preferred but not required. Willingness to learn and adapt to new technologies is essential.

  • Strong attention to detail and the ability to work efficiently in a fast-paced, dynamic environment. Candidates should also demonstrate respect for clients' property and personal belongings.

  • Must maintain a professional demeanor, display a positive attitude, and be timely and trustworthy in all tasks.

  • Must be highly dependable, punctual, and able to communicate effectively with the team to ensure smooth operations. Excellent attendance is critical for the success of this role.
